Operational Assistant (Part-time, Contract)

Role & Responsibilities

As we grow, we are in need of day-to-day administrative support on the operations and marketing sides of the business.

We're looking for you to join us on an initial part-time contract basis which may mature into a full-time role.

You will report directly to the founder / CEO.

We are open to remote work in the US Eastern time zone or Southeast region.

Responsibilities include:

  • Collaborating with the founder and other team members on projects and tasks.

  • Communicating and coordinating with customers, vendors, leads, and partners.

  • Bookkeeping.

  • Preparing and sending contracts and invoices to customers.

  • Organizing vendor timesheets and payments.

  • Monitoring our inbound mailbox and responding to inquiries.

  • Other miscellaneous administrative tasks, as needed.

Qualifications

  • 2+ years of relevant work experience.

  • Eighteen years of age or older.

  • Legally permitted to work in country of residence.

  • High school diploma or equivalent.

  • An inherent drive to help others.

  • High attention to detail.

  • Demonstrated ability to effectively manage time and deadlines.

  • Demonstrated skill in planning, budgeting, finances, and organization.

  • Experience with bookkeeping software, preferably QuickBooks Online.

  • Experience leveraging remote collaboration tools, such as Slack, GSuite, Zoom, and Asana.

  • A strategic operations mindset to help improve processes.

  • Strong written and verbal communication skills.

  • Advanced level of English and Spanish (C1 or above), especially in written communications.

  • Ability to collaborate effectively and respectfully in diverse, multi-disciplinary teams.

Nice to Haves

  • Experience working in a similar role in an agency environment.

  • Experience working with US-based companies (especially related to bookkeeping).

  • Experience leveraging AI and other tools to enhance operational efficiency.

  • Experience managing content in Webflow or other blogging platforms.

  • Experience in or understanding of software-as-a-service startups, user experience design, and/or Agile software development processes.
