Executive & Personal Assistant to the CEO

Position Summary:
The Executive & Personal Assistant to the CEO (Trainee Role) will work directly under the supervision of the CEO to provide high-level administrative, operational, and strategic support.
This role is designed for a dynamic, tech-savvy, and highly reliable individual who can seamlessly integrate into the CEO's workflow, manage confidential tasks, and ensure operational efficiency across multiple time zones.
The successful candidate will function as the CEO's right hand—proactively managing communications, assisting in recruitment coordination, and contributing to ongoing international expansion initiatives.
Key Responsibilities:
- Manage the CEO's calendar, appointments, and virtual/in-person meetings across global time zones.
- Draft, review, and organize business communications, proposals, and internal documents.
- Coordinate daily tasks, follow-ups, and project deadlines to ensure smooth execution of priorities.
- Support recruitment operations by liaising with HR, marketing, and partner teams in multiple countries.
- Maintain accurate digital filing systems and ensure data security in all communications and documents.
- Handle confidential information with discretion and professionalism.
- Participate in virtual meetings on behalf of the CEO when required, and prepare concise summaries or action items.
- Assist with travel planning, visa coordination, and logistics for international trips or meetings.
- Track time and tasks accurately using Upwork or the company's designated time-tracking system.
- Operate via secure remote access tools (AnyDesk, UltraViewer) directly on the CEO's computer.
Work Conditions & Expectations:
- Gradual Onboarding: Begin part-time and expand hours as trust and responsibilities grow.
- Work Setup: Remote work from a distraction-free environment using secure access systems.
- Availability: Must remain reachable during weekends for urgent or pre-scheduled activities.
- Responsiveness: Timely communication is mandatory; proactive follow-up and execution expected.
- Confidentiality: Strict adherence to confidentiality and data protection policies.
- Travel: May occasionally accompany the CEO for domestic or international meetings; all travel costs covered.
Required Skills & Qualifications:
- Bachelor's degree preferred (Business Administration, Management, HR, or related field).
- Excellent written and verbal communication in English.
- Strong organizational, multitasking, and prioritization skills.
- High level of professionalism, discretion, and judgment.
- Proficiency with Google Workspace, Microsoft Office, WhatsApp Web, and remote collaboration tools.
- Ability to work independently and maintain accountability through time tracking.
- Prior experience as a Virtual Assistant, Executive Assistant, or Administrative Coordinator preferred but not mandatory.
