About the Role
We are seeking a highly organized, proactive, and reliable Executive Assistant/Administrative Assistant in Medellín or Buenos Aires.
This role is critical in ensuring the Executive can operate at maximum efficiency by providing administrative support.

Key Responsibilities
Administrative and Financial Support
- Update and maintain spreadsheets for marketing, sales, expenses, and commissions.
- Process mileage reimbursements for sales representatives, verifying routes and calculations.
- Manage financing contracts with Mariner Finance: upload client data and documents, track approvals, and ensure completion of signatures.
- Record and track payroll, expenses, and revenue using QuickBooks.
- Calculate and organize sales commissions (advances and final payments).
Support to the Executive
- Prepare and send a daily list of priorities and tasks for review.
- Follow up on reminders and action items, ensuring deadlines are met.
- Coordinate and schedule meetings with clients, vendors, and internal staff.
- Assist with various ad-hoc requests, projects, and research tasks.
Operational and Compliance Management
- Track and update business licenses (Maryland, Virginia) and assist with required renewals.
- Communicate with accountants regarding reports and financial documentation.
- Maintain insurance and records for company vehicles.
- Assist in legal and administrative processes related to company properties.
Special Projects
- Support coordination of brand initiatives (e.g., podcast projects).
- Assist in preparing documentation for new business initiatives and partnerships.
Candidate Profile
- English B2+
- Previous experience as an administrative assistant, executive assistant, or similar role.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency in Excel/Google Sheets.
- Knowledge of QuickBooks preferred.
- Excellent communication and problem-solving skills.
- Proactive, reliable, and adaptable.
